This Privacy Policy describes how Calculist (“we”, “us”) collects, uses, and protects personal data when you use the website and service available at calculist.ai and related subdomains (the “Service”). Calculist is a platform for building, running, and sharing calculator-style applications (“apps”) for organizations, typically on an invitation basis.
1. Who we are

2. What data we collect
Depending on how you use the Service, we may process:
- Account and profile data when you sign in or are provisioned access (for example, email address, name, and organization identifiers, as configured by your administrator or registration flow).
- Contact form submissions when you use the public contact page: fields you submit (such as name, work email, company, and message content) are stored so we can review and respond to your enquiry. These records may be held in our application database (for example, MongoDB) as described in our technical documentation.
- App content and usage within the signed-in product: configuration and data you or your organization store as part of calculator apps (subject to your organization’s settings and agreements).
- Technical and security data such as IP address, user agent, timestamps, and similar metadata in server or application logs as needed to operate, secure, and debug the Service. We aim to keep such logging proportionate.
3. Legal bases (EEA / UK)
Where the GDPR or UK GDPR applies, we rely on appropriate bases, including:
- Contract — to provide the Service and accounts you or your organization requested.
- Legitimate interests — to secure our systems, prevent abuse, improve reliability, and communicate about the Service, balanced against your rights.
- Consent — where required (for example, acknowledgement via our cookie notice on marketing pages, or where you opt in to specific communications).
4. Cookies and similar technologies
The authenticated application may use session or security cookies (or equivalent mechanisms) to keep you signed in and protect your account.
Public marketing pages (such as the landing and contact pages) may load third-party resources (for example, Google Fonts and icon scripts from a CDN). Those providers may receive technical data such as your IP address and request headers in line with their own policies. We do not use those pages to run non-essential analytics cookies by default; if that changes, we will update this policy and, where required, seek consent.
5. Retention
We retain account and app data for as long as your account is active or as needed to provide the Service and meet legal obligations. Contact form messages are retained for as long as needed to handle your enquiry and for our legitimate business records, unless applicable law requires otherwise. When no longer needed, we delete or anonymize data in line with internal processes (subject to backup and legal hold constraints).
6. Your rights
Depending on your location, you may have rights to access, rectify, erase, restrict, or object to certain processing, and in some cases to data portability.
